What actually matters.

Three things we wish every business owner asked before picking a tool. Spoiler: pricing isn't first.

Accounting software is the rare category where the cheapest choice is almost never the right one — but the most expensive isn't either. Three questions to ask, in order:

1. What's your billing pattern?

Hourly & project? FreshBooks or Bonsai. Product sales? QuickBooks or Xero. Subscription? Stripe + a thin GL like Wave will do for ages.

2. Who else needs access?

If your accountant already lives in QuickBooks, the switching tax is real — even if a cheaper tool fits you better. Ask before you buy.

3. How easy is it to leave?

Run the data export on day one. If you can't get a clean CSV of every transaction, you don't own your books — your vendor does.

Wave is genuinely free for invoicing and bookkeeping — no asterisks, no trial. Zoho Books is the cheapest paid option that doesn't feel like a downgrade.
How do I choose between an invoicing tool and a full accounting suite?
Invoicing tools win on speed and UX — if you bill clients by the hour or project and don't carry inventory, they're usually all you need. Full accounting suites win on depth — general ledger, payroll, inventory, multi-entity. The question to ask: does your accountant need to live in the tool daily? If yes, go with whatever they already use. If no, start simpler and upgrade when you outgrow it.
Can I switch accounting tools later?
Yes — but it's about as fun as moving house. Every tool exports CSVs of transactions; few export a clean, ready-to-import package. Budget a long weekend, do it at month- or year-end, and tell your accountant before you click the button.
Do I need an accountant if I use accounting software?
Software handles the bookkeeping. An accountant handles the strategy — tax planning, structure, audits. For most businesses past $200k revenue, the answer is yes. Below that, an annual check-in usually covers it.
